Setting up Microsoft 365 Copilot is mostly preparation. Every user already has Copilot Chat with an eligible Microsoft 365 plan; the paid licence adds answers grounded in your own email, files and meetings. Because Copilot shows people anything they can already open, the real work is fixing permissions first. Listonics checks prerequisites, fixes oversharing, labels sensitive files and runs a pilot.

Best team I’ve ever hired. All in one place.
As a construction company, we have a lot to manage, so finding one team that can handle our IT and digital requirements has been really helpful. Listonics has supported us with office networking, cybersecurity, website development and SEO. Their team knows what they’re doing and has been easy to work with. We no longer need to coordinate with different companies for every requirement, which saves us time and effort. Overall, it’s been a good experience, and we’re happy to have them supporting our business.
We needed a custom ERP and HR system…
We needed a custom ERP and HR system for our business, along with a new website, and Listonics helped us with all three. The team was approachable, listened to what we wanted and made the process easier than we expected. We could discuss changes directly with them, which made a big difference. It was also convenient having one team handle everything instead of dealing with multiple companies. Overall, we’re happy with how things turned out and glad we chose them.
Listonics projects run from AED 2,500 to AED 30,000 as a fixed scope; support is a fixed monthly fee with response times written into the agreement. The IT support cost guide and managed IT pricing guide set out how the numbers are built.

Copilot Chat or the paid Copilot licence: which do you need?
Start with Copilot Chat, because you probably have it already. Microsoft's Copilot overview describes Copilot Chat as the baseline experience included with eligible Microsoft 365 licences. It works mainly from web data, and it only uses your company's content when a user deliberately adds a file or text to the prompt. For drafting, summarising a pasted document or answering general questions, that is often enough.
The paid licence is different in kind. With the Microsoft 365 Copilot add-on, Copilot can draw on the work data the user already has access to: their mailbox, calendar, Teams chats, meetings and files in SharePoint and OneDrive. That is what makes it useful for questions like what was agreed with a client last month. It is also why the paid licence needs preparation that Copilot Chat does not.
Microsoft has recently renamed the products, so you will see Microsoft Copilot and Microsoft Copilot Chat on its pages where older material says Microsoft 365 Copilot. The licence tiers also change from time to time, so we check the current options against your plan before recommending anything.
| Copilot Chat | Paid Copilot licence | |
|---|---|---|
| Cost | Included with eligible plans | A separate licence per user, billed by Microsoft |
| Works from | Mainly web data, plus files you add to the prompt | Web data and your email, files, chats and meetings |
| Readiness work | A usage policy and short training | Permissions review, labels, pilot and training |
| Good first step for | Every user | The roles that spend their day in email, documents and meetings |
What are the prerequisites for Microsoft 365 Copilot?
The Microsoft Copilot requirements page sets them out, and we check each one before any licence is bought. Most Dubai offices on Microsoft 365 Business Standard or Business Premium meet the core list already; the gaps tend to be older Windows builds, blocked network addresses and shared or device-based setups.
- An eligible Microsoft 365 subscription as the base licence, plus a Copilot licence for the paid features.
- A work or school account in Microsoft Entra ID for every user.
- An Exchange Online mailbox for anything that uses email, calendar or meeting data; Copilot does not work in group mailboxes.
- A OneDrive account, which some Copilot features need.
- Microsoft 365 Apps deployed for Copilot in the desktop apps; Copilot is not available with device-based licensing of Microsoft 365 Apps for enterprise.
- Windows 11 version 22H2 or later, or macOS 13 or later, for the Copilot app.
- A supported browser with third-party cookies allowed for Copilot in Word, Excel and PowerPoint on the web.
- Firewall and proxy rules that allow the whole cloud.microsoft domain and the Microsoft 365 endpoints.
- Teams transcription or recording switched on if Copilot should refer to meetings after they end.
Why oversharing has to be fixed before Copilot goes live
Copilot does not change who can see what; it makes existing access easy to use. Microsoft's data, privacy and security page for Copilot states that it only surfaces organisational data to which each user has at least view permission. So a salary spreadsheet shared with the whole company three years ago was always a risk; with Copilot, someone can find it by asking a plain question.
In a typical small office the problems are familiar: team sites open to everyone in the organisation, folders shared through anyone-with-the-link links, old project sites nobody owns, and staff who changed role but kept their old access. Our article on fixing SharePoint oversharing before Copilot walks through how to find these and the order we fix them in.
Microsoft publishes a deployment blueprint for addressing oversharing, built on SharePoint Advanced Management and Microsoft Purview, and we follow its approach at a scale that suits a business of ten to two hundred people.
Which tools do we use to get the tenant ready?
Three tools do most of the work, and the paid Copilot licence brings the first of them with it. SharePoint Advanced Management provides data access governance reports that show sites likely to hold overshared or sensitive content, including items shared with Everyone except external users, along with site ownership policies and access reviews that site owners can complete themselves.
Restricted Content Discovery stops chosen SharePoint sites from appearing in organisation-wide search and Copilot answers while their permissions are reviewed. Microsoft is clear that it is a temporary control: it does not change permissions, people who already have access can still open the files, and it should be used selectively.
Sensitivity labels from Microsoft Purview classify documents and emails and can encrypt them. Copilot honours the usage rights that encryption grants, so a file labelled for the board only stays with the board. We set up a short, plain set of labels that staff will actually use.
How we roll Copilot out: pilot, training and measuring use
We start with a pilot group, not the whole company. Five to fifteen people from different roles get the licence first, usually a mix of managers, sales, finance and operations staff who live in email and documents. Their feedback decides who else needs a licence and who is well served by Copilot Chat.
Training is short and practical: how to write a good prompt, how to check an answer against its sources, and what not to paste in. We pair it with a written usage policy, and our guide to a workplace policy for ChatGPT and other AI tools covers what that policy should say.
After four to six weeks we look at Microsoft's admin reporting to see who is using Copilot and in which apps, and we ask the pilot group what saved them time. Licences that are not used get reassigned or dropped at renewal, so you pay only for the people who benefit.
How does Copilot handle your company's data?
Within the commitments that already cover your Microsoft 365 data. Microsoft's privacy page says prompts, responses and data accessed through Microsoft Graph are not used to train the foundation models, that stored Copilot interactions are encrypted, and that administrators can search them and set retention policies in Microsoft Purview.
Web search is a setting an administrator controls. When it is on, Copilot can send a search query to Bing to improve an answer; we agree with you whether to allow it. For businesses with UAE data residency questions, we check where your tenant's data is stored as part of the review.
What a Copilot setup project with Listonics includes
A fixed-scope project, quoted after a short call about your tenant and your goals. Microsoft bills the Copilot licences directly or through your licence partner; our work covers the readiness review, the permissions clean-up, labels, the pilot and the training. Listonics projects run from AED 2,500 to AED 30,000 depending on the size of the tenant and how much tidying it needs.
Copilot setup sits inside our wider Microsoft 365 and cloud services, and ongoing administration is covered by Microsoft 365 support for Dubai businesses. If you want to know whether your tenant is ready, book a Copilot readiness call.
Frequently asked questions
Copilot Chat is included with eligible Microsoft 365 subscriptions at no extra cost, according to Microsoft. It works mainly from web data and uses your company's files only when a user adds them to the prompt. The paid Copilot licence is what lets Copilot draw on email, calendar, Teams and SharePoint content on its own.
Copilot only shows people content they already have permission to open, so it does not create new access. What it does is make existing oversharing easy to find. That is why we review SharePoint and Teams permissions, apply labels to sensitive files and restrict risky sites before the paid licences are switched on.
No. Copilot needs an eligible Microsoft 365 base subscription, and Microsoft lists several. Business Premium does include more of the security and data protection tools that make a Copilot rollout safer, such as sensitivity labels and device management, so for some offices the upgrade is worth considering at the same time.
For a small office with a tidy tenant, the review and fixes can take a couple of weeks before the pilot starts. A tenant with years of open team sites and shared links takes longer. We give you a realistic plan after looking at the sharing reports, and Restricted Content Discovery can cover risky sites while the clean-up continues.
Usually not at first. Copilot Chat serves many roles well, and the paid licence pays off for people who spend their day in email, documents and meetings. A pilot of a few people from different teams shows quickly who uses it, and licences can then go to the roles that benefit.
