Custom ERP software for Dubai businesses

For the managing director who runs the company on spreadsheets and an accounting package, and knows that cannot last.

Quick answer

Custom ERP software is a business system built around one company's own way of quoting, ordering, stocking, delivering and invoicing, instead of a packaged product the company must bend to fit. Listonics builds it for Dubai SMEs in phases, hands invoicing to the existing accounting system rather than replacing it, and advises configuring an off-the-shelf ERP first wherever the process is standard.

Where most Dubai SMEs are when they ask about ERP

The pattern is familiar. Sales quotes come out of a template. Orders live in a shared workbook. Stock is counted in another one, by someone who is on leave this week. Jobs are tracked in a group chat. The accounting package is accurate but only after someone re-keys everything into it at month end. The business works, but only because two or three people carry the whole picture in their heads.

The managing director knows this cannot scale and has started reading about ERP. What follows is usually a round of demonstrations from vendors whose products were designed for much larger companies, priced per user, and sold on the promise that the business will adapt to the software.

This page is our honest view on that decision, written for an office of five to two hundred staff with no in-house IT team.

Buy before build

If your processes are standard for your trade, configure an existing ERP. There are good packaged products for distribution, for contracting, for professional services, and a configured package with an implementation partner who knows it will be cheaper to run and easier to staff than anything built for you alone. We will say this on the first call if it applies, and we do not name or sell any of those products here because we are not an authorised reseller or partner of any ERP vendor.

Build when the process is genuinely yours. A trading company whose pricing depends on a daily commodity rate, a contractor whose jobs are costed in a way no package allows, a service firm whose clients expect a portal the packages cannot give them: these are the cases where bending the business to the product costs more than building the product around the business.

Most of our ERP work is a mixture. The accounting stays in the package you already trust. The parts that make your business different are built, and the two are connected.

The modules an SME actually needs

Enterprise ERP suites list dozens of modules. An SME needs a handful, built well and connected to each other. In discovery we map what you do today and keep only the modules that carry real work.

The usual set:

  • Quotes: priced from a live product or rate list, versioned, converted to an order in one step when the client says yes.
  • Orders: what was promised, to whom, for when, with the status visible to everyone who needs it and nobody who does not.
  • Inventory: stock by location, reservations against orders, reorder points, and a stocktake process that matches how your warehouse or shop actually counts.
  • Jobs or projects: tasks, costs, materials and time against each job, so that margin is known before the final invoice rather than after.
  • Invoicing hand-off: the approved sale pushed into your accounting system to be invoiced there, so finance keeps one ledger.
  • Reporting: the figures the owner looks at every week, generated from the live data instead of compiled by hand.

Integration with the accounting system and UAE e-invoicing

We do not rebuild the general ledger. Your accounting package already handles tax, the chart of accounts and your auditor's expectations, and it is where the invoice should be raised. The ERP we build sends the approved sale across, with the right customer, lines and tax codes, and reads back payment status so that credit control sees it.

This matters more under the UAE electronic invoicing system. The Ministry of Finance sets out a model in which invoices are exchanged as structured data through accredited service providers and reported to the tax authority. The accounting package and its provider handle that exchange. A custom ERP that produced its own invoices outside that path would create a compliance problem rather than solve one. Our page on e-invoicing IT readiness covers the office infrastructure that sits underneath.

Where the business already uses a CRM, the ERP takes the won deal from it rather than asking sales to type it twice.

Data ownership and export

The database is yours, in a hosting account you pay for. Every table can be exported to a spreadsheet or a standard file format from inside the system by an administrator, without asking us. The source code sits in a repository your business owns, with documentation describing how it is built and deployed.

If you leave us, you take the running system, its code, the specification and the administrator credentials. Another developer can continue it. We make this explicit because the usual ERP experience in Dubai is the opposite: data in a vendor's cloud, exportable only on request, with the exit fee hidden in the contract.

Phased delivery

Nobody should replace every process on one weekend. We start with the module that hurts most, often quotes and orders or inventory, and take it live while the rest of the business continues as before. Staff learn one new thing. We learn how the business really works, which is never quite what the discovery sessions described.

Each phase has its own signed specification, its own fixed price and its own go-live. The order of phases can change as priorities change. A phase can be the last one if the business decides it has enough.

This also keeps the risk small. The first phase is a bounded project, not a commitment to a multi-year programme.

Who maintains it, and what it costs

A business system needs patching, backing up, and changing as the business changes. Clients on our managed IT support have the ERP covered under the same agreement as their laptops, Microsoft 365 tenant and backup, so one call reaches the people who built it and the people who run the office. Clients who are not can take a standalone maintenance arrangement.

Projects at Listonics run from AED 2,500 to AED 30,000 depending on requirement, and an ERP is usually delivered as a sequence of such phases. A first phase covering quotes and orders with an accounting hand-off sits in the middle of that range. Every phase is quoted after a scope call and fixed in its specification.

If your need is a single portal or dashboard rather than a full business system, read our page on custom web application development. If you trade gold or jewellery, the gold and jewellery ERP page describes what that market needs specifically.

Frequently asked questions

Buy and configure if your processes are standard for your trade. Build where the process is genuinely yours and packaged products would force you to change it. Most SMEs end up with a mixture: the accounting package they already use, plus built modules for the parts that make the business different, connected together.

No. Your accounting package keeps the ledger, the tax and the invoice. The ERP we build handles quotes, orders, stock and jobs, then pushes the approved sale into the accounting system to be invoiced there and reads payment status back. One ledger, no re-keying, and the e-invoicing path stays with the accounting package and its provider.

Yes. Every table exports to a spreadsheet or standard file format from an administrator screen inside the system. The database and the hosting account are yours, so you also have direct access underneath the application. Nothing requires a request to us.

That is how we prefer to work. The first phase covers the process that hurts most, goes live on its own, and has its own fixed price. Later phases are added when the business is ready, in whatever order makes sense, and you can stop after any of them.

No. Listonics is not an authorised reseller or partner of any software vendor, which is why no products are named on this page. If a packaged ERP is the right answer we will say so, and you would engage that vendor or an implementation partner for it directly.

Projects at Listonics run from AED 2,500 to AED 30,000 depending on requirement, and an ERP is delivered as a series of phases in that range. The exact figure is quoted after a scope call, once we know which modules you need, what the accounting system is, and how many locations and users are involved.
